BackTier builds diagnostic outreach systems that research every target, identify a specific visibility problem, and generate personalized outreach that leads with that finding. The reason for contact is always a diagnostic result, not a promotional message. This is not mass email. This is controlled, intelligence-led contact.
Before any email is drafted, the system researches the target organization. The research produces a visibility snapshot: what the organization appears to do, what market or issue it serves, the likely AI and search visibility problem, the likely entity clarity problem, competitor or category gaps, the best outreach angle, and the recommended offer.
The visibility snapshot is the foundation of the outreach. Every email is built from the snapshot — not from a generic template. The recipient receives a message that references their specific situation, not a message that could have been sent to anyone.
Every target is scored from 0 to 100 across ten factors: category fit, website quality, AI visibility opportunity, local or market relevance, likely budget, decision-maker clarity, public-facing visibility need, urgency signal, source confidence, and email quality. Each target receives a score explanation in plain language.
Priority labels — High Priority, Good Fit, Test Fit, Low Fit, Do Not Contact — are applied based on score thresholds. Only targets above the minimum threshold enter the outreach queue.
BackTier's diagnostic outreach system uses four base templates: general business, political and civic organizations, regulated and high-trust industries, and agencies and consultants. Each template is personalized with the organization name, contact name, service category, and market.
All templates share the same structural logic: a specific finding about the recipient's AI visibility, a clear explanation of why it matters, a low-friction CTA for a free evaluation, and a professional close. No fake urgency. No hype. No guaranteed results.
The default sequence runs at Day 0, Day 3, Day 7, and Day 14. Each step uses a distinct message that adds new context rather than simply repeating the original ask. Day 0 leads with the visibility finding. Day 3 adds a specific example or data point. Day 7 offers a different angle on the same problem. Day 14 closes the loop cleanly without pressure.
The sequence stops automatically when a reply is received, when a lead unsubscribes, when an email bounces, or when a lead is manually marked do-not-contact. No sequence continues past any of these events.
Every email requires manual approval before it is sent by default. The approval queue shows the lead record, the visibility snapshot, the lead score, the proposed subject line, and the proposed email body. Approvers can edit, approve, or reject each email individually.
Campaign settings control auto-send rules, maximum emails per day, allowed sending days, allowed sending time windows, excluded domains, excluded categories, and excluded geographies. These settings can be adjusted per campaign.
Personalization fields include organization name, contact first name, service category, city and state, specific visibility finding, competitor or category example, and recommended audit type. The combination of these fields produces outreach that reads as individually researched, not mass-generated.
Personalization depth is calibrated to the target category. High-value targets in regulated industries or political contexts receive deeper research and more specific findings. High-volume targets in general business categories receive lighter research with consistent quality.
BackTier's diagnostic outreach systems enforce strict quality and safety rules. The system never sends to leads marked do-not-contact, never continues a sequence after a reply, never sends duplicate emails to the same address, never sends more than the daily limit, and never sends without approval if manual approval is enabled.
Language rules prohibit manipulative political language, claims of guaranteed AI recommendations, claims of guaranteed leads, and claims of guaranteed rankings. All outreach language is institutional, strategic, and precise.
