Every reply is classified into one of fourteen categories: Interested, Wants Audit, Booked Call, Not Now, Not Interested, Wrong Person, Referral, Unsubscribe, Angry or Negative, Bounce, Out of Office, Partnership Interest, Media Interest, and Political or Civic Interest.
Classification is performed by an AI agent trained on the specific language patterns of each category. Classification accuracy is reviewed on a weekly basis and the model is updated when misclassifications are identified.
Each classification triggers a specific action. Interested leads and audit requests stop the sequence and create an audit task with the full lead context. Booked calls update the lead status and notify the account owner. Not Now replies stop the current sequence and create a follow-up task 30 to 90 days later.
Not Interested replies stop the sequence. Wrong Person replies stop the sequence and ask for a referral only if appropriate. Referrals create a new lead record linked to the original. Unsubscribes and angry replies mark the lead do-not-contact permanently. Out of Office replies pause the sequence and retry after the return date if detected.
When a reply indicates interest, the system escalates immediately. An audit task is created with the organization name, website, contact name, contact email, category, market, source URL, original email thread, requested date, priority, notes, and recommended audit type.
The account owner is notified instantly. The escalation record includes the full reply text, the classification, the lead score, the visibility snapshot, and the recommended next step.
Unsubscribes, bounces, and do-not-contact requests are processed immediately and permanently. The suppression list is checked before every outreach batch. Suppressed contacts are never re-entered into any sequence under any circumstances.
Suppression records include the email address, domain, reason, creation date, and source. Domain-level suppression blocks all contacts at a given organization when a suppression event is triggered.
Partnership interest and media interest replies are routed to a separate queue for strategic review. These replies are not handled by the standard outreach workflow — they require a different response and a different relationship.
Political and civic interest replies are tagged and routed to the political and civic workflow, which has different handling rules for sensitivity, compliance, and relationship management.
Across all replies, the system identifies patterns: which subject lines generate the most positive replies, which verticals have the highest interest rates, which markets have the most unsubscribes, which CTAs generate the most audit requests, and which message angles generate the most referrals.
Reply pattern intelligence is included in the weekly intelligence brief and used to optimize future outreach campaigns. Over time, the intelligence layer improves the quality and relevance of every outreach program.
Every reply is stored with the full email thread context. Thread preservation enables the account owner to review the complete conversation history before responding to any escalated opportunity.
Thread records are linked to the lead record, the campaign record, and the audit task record, creating a complete audit trail for every opportunity from first contact to close.
